The Auto-Lock feature is part of the Pre-Crime solution and empowers you to restrict access to documents, minimizing the risk of data breaches by automatically preventing unauthorized viewing, copying, or sharing of documents.
If the Auto-Lock feature is enabled for the RMail service and the recipient tries to access a secure link included in a registered email (such as a signature request or a document shared via File Share) from a 'red' zone, access to the content will be denied. They will immediately have the option to request access.
It's important to note that the recipient will still be able to view the email, but not the content within the secure link.
Once the recipient clicks on Request Access, they will need to enter a message explaining why they are requesting access. After that, they must click Send Request.
The requester will receive a confirmation email verifying that the access request went through successfully.
On the sender's side, when Auto-Lock is applied, an email notification is sent to the sender informing them that the recipient was unable to access the document.
If the recipient requests access, the sender receives an email similar to the Auto-Lock notification. However, this time, it includes the recipient's message requesting access and a link to the User Portal, where access requests can be managed.
If you click on the arrow, you'll be able to expand the request and see additional details related to it.
When selecting a request, the Approve and Decline options become available.
Choosing either option will trigger a pop-up where the sender can select who will be notified of the decision and add a message. At the bottom, click Approve or Decline to confirm.
Note: The Original Recipient is the person to whom the email was initially sent, while the Access Requester is the person who actually requested access. These may not be the same person, as the original recipient might have forwarded the email, and the new recipient could be the one requesting access.
The requester will receive an email notifying them whether their request has been approved or declined. If approved, the email will contain a link to access the previously blocked information, along with a passcode to enter.
After entering the passcode click Submit.
