The File Share feature allows you to send an email with a cumulative attachment size of up to 1GB in size.
Due to a Microsoft limitation for Outlook, attaching files larger than 25 MB to an RMail message is not possible. However, you can bypass this limitation using the File Share feature. If you try to attach a larger file, a guidance message will suggest using File Share.
Note: This feature may be combined with Encryption to add privacy.

How to send large files using File Share
1. Compose your email and click the Send Registered button.
2. Click the File Share - Add Files button to browse and upload the desired attachments.
Once the recipient gets the email, they click on the yellow Download Files button which directs them to a portal where they have up to 90-days to download and save the attachments transmitted.
Note: If an email was sent using the File Share feature, the attached files cannot be recovered from the sent email since the files are linked to a URL, instead of actually being attached to the email. Therefore, the email in the Sent folder contains the email body and a list of attachments sent but not the attached files themselves.
If the sender wishes to re-send those files, they would have to compose a new email and use the File Share feature again.
How to change the File Share link expiration
The availability of the File Share download link can be configured to range between 7 and 90 days using the File retrieval link available for download setting in RPortal. This setting defines the default availability period for all File Share transactions.
However, after a File Share message has been sent, the expiration date can be extended on a per-transaction basis by accessing the RPostONE Hub:
1. Once there, navigate to the RMail section and select the Search RMail tab, where all transactions sent within the last 30 days are displayed.
From the Message Type dropdown menu, you can filter the results to display only sent File Share messages.
2. Click on the arrow to expand and see more information about that message.
3. Click on the menu on the right and select Change Expiration Period.
4. You can set the new expiration in two ways:
- By specifying the number of days until expiration (Set days to expiration).
- By selecting a specific expiration date and time (Set expiration date).
To finish click on Confirm.
How to kill a File Share download link
1. In the RPostONE hub, navigate to the RMail section and select the Search RMail tab, where all transactions sent within the last 30 days are displayed.
From the Message Type dropdown menu, you can filter the results to display only sent File Share messages.
2. Click on the arrow to expand and see more information about that message.
3. Click on the menu on the right and select Kill now.
4. Select the Kill now option and then click on Confirm.
