This article covers two features that aim to enhance productivity and security:
SideNote
RPost’s SideNote® feature is a productivity tool designed to save time, cut down on email overload and improve overall collaboration. It provides an efficient method of sending private notes only visible to the To, Cc and/or Bcc recipients by using a yellow ‘sticky-note’ box at the top of the message for their viewing only. This is a feature add-on that is available with all RMail services from within the App.
- A SideNote may be added to RMail messages from most RMail apps in conjunction with other services like Track & Prove, Encryption, E-Sign, and File Share.
- A maximum of 512 characters including spaces is available for the SideNote text.
- The SideNote checkboxes for To, Cc and Bcc are checkable only if there is at least one address in the To, Cc and/or Bcc fields. If there is no address in these fields, the checkbox is greyed out.
- The SideNote is sent to all To recipients when the To checkbox is selected, to all Cc recipients when the Cc checkbox is selected, and all Bcc recipients when the Bcc checkbox is selected.
- The SideNote will be at the top of the email body and will be in the email body if the recipient forwards or replies to the original email.
- SideNote content is not recorded in the sent items by default, but it can be turned on from the RMail Settings in the Outlook plugin.
- SideNote content is not recorded within the Registered Receipt email or usage reports.

Disappearing Ink™
Disappearing Ink™ is an e-security feature available in RMail Outlook plugin version 11.2 onwards. It lets users send private information to be viewed by the recipient only once and prevents sensitive data from being exposed when replying or forwarding emails. You can access Disappearing Ink™ through the RMail Settings in Outlook, shown below.
Settings
To access the settings go to File > RMail Settings.
You can disable the Disappearing Ink™ feature, modify the default number of views and change the default length of time per view. You can also customize the default view link text.
To add an extra layer of protection, you can enable Encryption for Disappearing Ink™. When enabled, when the recipient clicks on the viewing link text, they will need to verify their email address to view the text entered as Disappearing ink.
Contact your Sales or Customer Success representatives to find out about more available settings for the Disappearing Ink™ feature.
Sender View
To send sensitive information using the Disappearing Ink™ feature, click on the Send Registered button to open the Sending Options panel.
Enter the sensitive information in the Disappearing Ink™ section, check the recipients type (To, CC, and/or BCC), and click on the Send button.
Recipient's view
To access the Disappearing Ink™, the recipient clicks on the viewing link text located under the Registered email banner.
The web interface will display how many views remain, and for how long the sensitive information will be displayed per view.
When the time limit is reached, the Disappearing Ink™ text will no longer be visible.
