The RMail Digital Seal® service for the Sender Signature and Authentication feature empowers the email receiver to authenticate the sender, transmission timestamp and message body, as well as attachment content.
The message recipient may verify the sender’s address, message content and transmission time by forwarding the email to verify@r1.rpost.net.
Checking the Sign & time-stamp with Digital Seal box allows the sender to electronically sign and timestamp an email with a cryptographic digital signature, which can be easily verified by the recipient, to prove the message is the original and has not been tampered with or altered.
Recipient's view
All PDF attachments will be signed with a PKI digital signature to maintain the file’s authenticity and will be signed on the bottom right corner of every page with the sender’s address and time and date stamp.
The settings for Sender Signature & Authentication can be found in the Digital Seal® section of the Settings menu in the RMail Feature Dialog box or by clicking the File menu from your Inbox in Outlook Desktop and then selecting RMail Settings.

The Digital Seal® service is activated by a special hash code located inside the Acknowledgement email. The hash code is invisible to the user and looks similar to this example:

When the RMail plug-in for Outlook recognizes this code on the Acknowledgement email, the Digital Seal service becomes available to be selected in the RMail Sending Options panel upon clicking the Send Registered button.
If you are unable to check the Digital Seal feature because it is greyed-out, please follow these instructions:
1. Access your RMail Settings, by clicking the Settings button.
2. In the Track & Prove tab, make sure the next option is checked: Receive Acknowledgement emails confirming processing of message.
3. In the Digital Seal® tab, make sure the Enable Digital Seal option is checked.
4. Save your changes by clicking on Apply. If you did not change anything, simply click on Ok.
5. Send yourself a Registered Email message.
6. Wait for the Acknowledgement email to come into you Inbox.
Important: The Acknowledgement email must go into the default mail inbox and not a sub folder, other folder or sending profile.
7. Close Outlook and restart it.
8. Compose a new email and press the Send Registered button. The Digital Seal option should now be available.
RPost Ink signature box
RPost Ink allows the sender to sign the email with a personal, handwritten signature, just by scripting with the mouse or the touchpad in the RPost Ink signature box area on their screen.
The buttons below allow the sender to add, save or clear the sender’s scripted signature for that message or expand the touchpad for easier signature drawing.
- Click on Add to insert the sender’s saved signature stored within the button software.
- Click on Save to store the scripted signature within the button software stored locally on the Outlook mail client.
- Click on Clear to erase the signature on the touchpad.
The sender's scripted signature, email address and time/date will be reflected in the body of the email, even when the email is transformed into a PDF in these cases:
- When using E-Sign without sending an attachment.
- When using Message Level Encryption.
