How to create message templates
To create a message template, follow these steps:
1. Make sure the Allow users to create message templates setting is enabled.
2. Click Templates in the top navigation bar, press the Create button and select Create Message Template.
3. Set the name and description of the message template.
4. Add the message subject and body, then click the Save button.
The new message template will be listed on the Templates page.
How to edit message templates
To edit message templates, follow these steps:
1. Click Templates in the top navigation bar, go to the My Message Templates section and search for the message template you wish to edit.
2. To edit, click the template's name, or on the three-dot menu in the More column and select Edit.
3. The message template will open as it was configured, but in edit mode. Modify it as needed and save your changes.
How to share message templates
To share message templates with other users within the same company, follow these steps:
1. Make sure the Allow sharing of message templates setting is enabled.
2. Click Templates in the top navigation bar, go to the My Message Templates section and search for the message template you wish to share.
3. To share, click the three-dot menu in the More column and select Share.
4. A Share configuration panel will appear. Select the users you'd like to share your message template with, then click Save.
Note: If RSign groups have been created for your company, you can share your message template with any groups you belong to.
After you confirm that you want to share the selected message template, you will find it in the Message Templates tab under the Shared by me section.
How to unshare or edit the sharing configuration for message templates
To unshare or edit your sharing for message templates, follow these steps:
1. Click Templates in the top navigation bar, go to the Message Templates tab under the Shared by me section and search for the shared message template you wish to unshare.
2. To unshare or edit your sharing configuration for that message template, click the three-dot menu in the More column and select Share.
3. The Share configuration panel will appear. Clear the checkbox next to the users you want to stop sharing the message template with; then click Save.
How to add shared message templates to your personal list
To add shared message templates to your personal list, follow these steps:
1. Click Templates in the top navigation bar and go to the Share with me section.
2. Search for the message template you wish to add to your personal templates and click Add.
A copy of the shared message template will now appear in My message templates.
Note: Once added to My Message Templates, message templates created by other users cannot be edited. The Edit options will be grayed out.
How to delete message templates
To delete message templates, follow these steps:
1. Click Templates in the top navigation bar, go to the My Message Templates section and search for the message template you wish to delete.
2. To delete, click the three-dot menu in the More column and select Delete.
After you confirm the deletion, the message template will be removed from your personal list.
Note: This action cannot be reversed.
How to use message templates
To use a message template, follow these steps:
1. Create an envelope as usual. To learn more, read the article how to send a document for signature.
2. In the Add message section, click the Select message template dropdown menu and choose the message template you would like to use.
Note: You can edit the populated text to further customize the message specifically for the envelope recipients.
3. Click Next to continue preparing the envelope.
