RMail allows you to adjust and set default system features in Outlook for a customized experience.
These settings will be reflected in the pop-up Sending Options Panel you access when sending a Registered Email™ message.

Accessing RMail Settings
1. Click on File.
2. Select RMail Settings.
3. The Settings Panel will be displayed. Set the features according to your needs and then press the Apply button.
Note: You may also access the settings when composing an email.
Track & Prove Settings
In the Track & Prove tab, you can configure the following settings:
Proof Records:
- Receive Acknowledgement emails confirming processing of the message: If unchecked, this option will be disabled and you will not receive an Acknowledgement email after sending an RMail Registered message.
- Save my Registered Receipt emails in a separate RMail Receipts folder: If unchecked, Registered Receipts emails will be saved in the Inbox folder.
- Leave Delivery Failure receipts in the Inbox: If unchecked, Delivery Failure emails will be saved in the RMail Receipts folder.
- Save my Email Activity Reports in a separate RMail Activities folder: If this option is unchecked, Eavesdropping alerts and other Email Activity reports will be saved in the Inbox. You can choose the type of alerts you want to save, either Risk Level Green, Yellow, or Red.
Unmarked Options:
- Unmarked: Allow the option to send Registered Email messages without banners: If unchecked, the option of sending a Registered Email™ Message Unmarked will be greyed out and not available in the Sending Options Panel pop-up.
- Pre-select the Unmarked option by default: If checked, the Unmarked option will be selected by default when accessing the Sending Options panel pop-up.
Encryption Settings
In the Encrypt tab, you can configure the following settings:
User Interface Default Settings
- Enable the Encrypt option: If unchecked, the Encryption feature will be greyed out and not available in the Sending Options Panel pop-up. Note: If unchecked, the E-sign option will not be available either.
- Pre-select the SecuRmail™ encryption option by default: If checked, the Encryption option will be selected by default in the Sending Options Panel pop-up.
- Choose which encryption method will be used as default, Transmission - auto-decrypts for receiver or Message Level - decrypts with password.
- You can create a custom password or leave the password field blank to have a random system-generated password created.
- If the Email password box is not checked, the sender must provide the password to the recipient using a different method.
- If the Save Password box is checked, the entered password will appear auto-populated in the Sending Options Panel pop-up.
E-Sign Settings
In the E-Sign tab, you can configure the following settings:
User Interface Default Settings
- Enable the E-Sign option: If unchecked, the E-Sign feature will be greyed out and not available in the Sending Options Panel pop-up.
- Pre-select the E-Sign option by default: If checked, the E-Sign option will be selected by default in the Sending Options Panel pop-up.
- Save completed E-Sign emails in a separate RMail Contracts folder: If unchecked, E-Sign emails will be saved in the Inbox folder.
-Display RSign Templates link & Toolbar Shortcut: If checked, the Send to RSign link will be visible in the Sending Options Panel pop-up.
- Enable E-Paper: If unchecked, the E-Paper option will be greyed out and not available in the Sending Options Panel pop-up.
- Enable SmartTags: If unchecked, the SmartTags option will be greyed out and not available in the Sending Options Panel pop-up.
- Enable One-Click: If unchecked, the One-Click option will be greyed out and not available in the Sending Options Panel pop-up.
- Default E-Sign method: Set which E-Sign method will be used as default, E-Paper, SmartTags or One-Click.
RMail Service Default Settings for E-Sign Invitations
- Send in the To field order sequentially upon each signing completion: If this option is selected, E-Sign requests will be sent respecting the order of recipients in the To field, once the preceding recipient has already signed.
- Send all E-Sign emails encrypted according to the current encryption settings: If this option is selected, all E-Sign requests will be sent encrypted.
File Share settings
In the File Share tab, you can configure the following settings:
- Enable the option to send emails with large attachments using the File Share service: If unchecked, the File Share feature will be greyed out and not available in the Sending Options Panel pop-up.
- Pre-select the File Share option by default: If checked, the File Share option will be selected by default in the Sending Options Panel pop-up.
Automatic Activation
- Send email via the File Share service automatically when cumulative attachment size is above 25 MB: If checked, sends emails via the File Share service automatically for attachments exceeding 25 MB in cumulative size
Note: Trying to attach files larger than 25 MB to an RMail Registered Email™ message without using File Share would cause an error message.
Side Note®/Disappearing Ink™ Settings
In the SideNote®/Disappearing Ink™ tab, you can configure the following settings:
SideNote®
- Enable the option to add custom private notes sent to only the To, CC or BCC recipients: If unchecked, the SideNote®/Disappearing Ink™ feature will be greyed out and not available in the Sending Options Panel pop-up.
- Store the private SideNote® to the Sent Items for your records: If checked, the added SideNote® will appear along with the body of the email in the Sent Items.
Disappearing Ink™
- Disappearing Ink™: You have the option to enable it, disable it, or have it selected by default.
- Number of views: Set the number of times the recipient will be able to read the text entered as Disappearing Ink™.
- Length of time per view: Specify the duration for which the text entered as Disappearing Ink™ will be visible.
- Viewing link text: Define the text that the recipient will need to press to access and view the Disappearing Ink™.
- Encrypt Disappearing Ink™: Select if the Disappearing Ink™ should be sent encrypted or not.
Right Recipient™ Settings
In the Right Recipient™ tab, you can configure the following settings:
Right Recipient™
- Enable Right Recipient™: If unchecked, the Right Recipient™ feature will be greyed out and not available in the Sending Options Panel pop-up.
- Verified recipient list refresh: Select the frequency for updating the list of recipients who have been confirmed as verified. The list of verified recipients is stored for a configurable rolling period of time: Continuous, 30, 90, 180, or 365 days. If the Continuous option is selected, the sender will be asked to verify all recipient email addresses every time they send a Registered email.
Note: If an email address is on the list and a Registered email is sent to that address, the period resets for them.
- To view the list of verified recipients, click on the View Verified Recipients button. You can add verified recipients by entering their email in the Add recipient field and then clicking on Add. To clear the list, click on Clear Verified Recipients.
- Right Recipient™ Safe Sender Address/Domain: In this box you can add email addresses or domains to be permanently marked as safe, instead of being saved for a limited period of time.
- Enabled for: The Right Recipient™ feature can be configured to be triggered when specific or all RMail services are used. Select the RMail services by checking the corresponding boxes under the Enable For section.
Safe Sender Settings
In the Safe Sender-Anti-Whaling tab, you can configure the following settings:
User Interface Default Settings
- Enable Anti-Whaling Phishing Alerts: If checked, Anti-Whaling security will issue a warning when you are about to reply to a suspected imposter email.
- Display the Anti-Whaling icon on the feature pop-up: If checked, the Anti-Whaling icon will appear on the Sending Options panel pop-up.
- Display the Safe Sender button on the warning pop-up: If selected, you will have the option to add the email address as a Safe Sender in the warning pop-up, preventing you from inadvertently sending information to a cybercriminal.
- Anti-Whaling Safe Sender: Add email addresses to set them as Safe Senders.
- Set the Anti-Whaling File Location.
Digital Seal® Settings
In the Digital Seal® tab, you can configure the following settings:
- Enable Digital Seal® Service: If unchecked, the Sign & time-stamp with Digital Seal® mark feature will be greyed out and not available in the Sending Options Panel pop-up.
- Pre-select the Digital Seal® service by default: If checked, the Sign & time-stamp with Digital Seal® mark feature will be selected by default in the Sending Options Panel pop-up.
Register Reply Settings
In the Register Reply tab, you can configure the following settings:
- Enable the option for the recipient to reply to email as a Registered Email™ message: If unchecked, the Register Reply feature will be greyed out and not available in the Sending Options Panel pop-up.
- Pre-select the Registered Reply option by default: If checked, the Register Reply option will be selected by default in the Sending Options Panel pop-up.
Client/Reference Code Settings
In the Client/Reference Code tab, you can configure the following settings:
- Enable Client Code: If unchecked, the Client/Reference Code feature will be greyed out and not available in the Sending Options Panel pop-up.
- Add Client Code to the end of the email subject: If selected, the Client Code will be added in the email subject.
- Always require Client Code: If selected, it is required you add a Client Code to the Registered Email™ message.
- Add Client Codes that will be available when composing a new Registered Email™ message.
- Set the Client Codes File Location.
Attachment Option Settings
In the Attachment Options tab, you can configure the following settings:
Convert to PDF
- Enable the option to convert MS Office attachments to PDF en-route: If unchecked, the Convert to PDF option will be greyed out and not available in the Sending Options Panel pop-up.
- Pre-select the convert to PDF option by default: If checked, the Convert to PDF option will be selected by default in the Sending Options Panel pop-up.
Metadata Cleaning
- Enable to option to clean hidden metadata from MS Office files en-route: If unchecked, the Clean hidden meta-data from Office files option will be greyed out and not available in the Sending Options Panel pop-up.
- Pre-select the metadata cleaning option by default: If checked, the Clean hidden meta-data from Office files option will be selected by default in the Sending Options Panel pop-up.
File Compression
- Enable the option to zip compress file attachments en-route: If unchecked, the Zip compress attachment option will be greyed out and not available in the Sending Options Panel pop-up.
- Pre-select the Zip compress option by default: If checked, the Zip compress attachments option will be selected by default in the Sending Options Panel pop-up.
Signature Pad Settings
In the Signature Pad tab, you can configure the following settings:
- Enable the option to add your signature to Registered Email™ messages: If unchecked, the RPost Ink: Sign email and PDF attachments option will be greyed out and not available in the Sending Options Panel pop-up.
- Sign all Registered Email™ messages with saved signature: If selected, the signature will appear at the end of all your Registered Email™ messages.
Note: You may draw your signature or add your personal signature file.
RMail Recommends™ Settings

In the RMail Recommends™ tab, you can enable the features you want the RMail Recommends™ service to operate with.
In this section, you can also configure specific email addresses so that whenever an email is sent to those addresses, it will be routed through the RMail system directly.
Language Settings
In the Language tab you can configure the following settings:
- Button Language: Determines in which language the 'Send Registered' button and the entire Sending Options Panel will appear.
- Service Language: Determines the language for RMail service notifications, such as Acknowledgement or Registered Receipt emails.
Advanced Settings
In the Advanced tab, you can configure the following settings:
Advanced
- Quick send RMail messages without the feature pop-up using one of these features according to their default settings in the Settings tab: Select which features you would like to have automatically applied when sending an RMail Registered™ message. When you choose one or more options, your email will be sent using those features by simply clicking the 'Send Registered' button, without accessing the options panel.
Advanced Ap Processing
- Local Encryption - Encrypts the message locally on the sender's computer: This option adds an extra layer of security when sending an encrypted email, as it also encrypts the communication from the sender's computer to the RMail server.
- Inbox - Moves RMail receipts and signed contracts to the RMail subfolders: If this option is selected, RMail receipts and signed contracts will be stored in their respective subfolders instead of the Inbox.
- Sent Items - Removed the RPost file extension from the end of the recipient email address: If this option is not selected, the recipient's email address will appear in the Sent Items with the rpost.biz extension.
RMail Account Settings
In this section, you can access your credentials and make edits if necessary, such as resetting your password.
You can also view reference information, such as the Digital Seal® authenticated address.
