Microsoft Teams is Microsoft’s chat, meeting, and collaboration platform. RDocs has an out-of-the-box integration with Microsoft Teams that covers the following:
- Protecting any file shared in a Teams group chat as a Rights Protected Document (RPD™) and posting it straight back into that same chat.
- Choosing how strictly the document is protected, who is allowed to read it, and for how long; all without leaving Teams.
Opening the RDocs tab
1. Open a chat in Teams.
2. Select the + above the message box.
3. Select RDocs from the app picker.
4. The tab opens as a private panel, nobody else in the chat sees it while you set things up.
Adding files
1. Drag and drop one or more files onto the panel, or select the panel to browse for files.
2. Reorder files using the arrows or remove one by selecting the X next to it.
Managing recipients
1. The chat’s members load automatically as recipients.
2. Select the X on a chip to remove anyone you don’t want to grant access to.
3. Type an external email address and press Enter to add a reader who isn’t a member of the chat.
Choosing an access control level and RPD™ settings
Rdocs offers three access control levels for the document you-re about to send:
| Level | What it means for your readers |
| Level 1 – Protect Views | Anyone with the link can open the document; no verification is required. |
| Level 2 – Control Readers (default) | Each reader must verify their email address with a one-time access code before the document opens. |
| Level 3 – Restrict Readers | Only the recipients listed above can ever open the document, even if someone forwards it. At least one recipient is required. |
And allows you to define an expiration date, a delivery type and personalized message (all optional)
Sending the RPD
Select Send and the RPD™ will be attached to the chat.
What to expect after sending
- A message appears in the chat with the RPD attached, listing the access level, the number of authorized readers, and the expiration date if one was set.
- Only the chat members still on the recipients list are granted access to that file. Removing someone from the list means they see the attachment but can’t open it.
- At Level 3, the RPD itself blocks anyone outside the recipients list, even if the file is forwarded.
